Pre-production protocols

Meetings

Remote meetings via video conferencing are possible, physical meetings during pre-production can be held in one of our conference rooms without face masks and no need physical distance between individuals

Documentation

All Documents incl. daily schedules, crew lists, production booklets, call sheets etc, are managed and shared securely online.

Location scouting

We ensure the required tech and personnel for hi-res video and photo presentations. Where a remote location recce is preferred, shortlisted proposals are presented with on-line streaming and 360-video view.

Wardrobe fittings

Proposals are coordinated through photo presentations and video conferences (Zoom, Skype, etc.)

Transport and accommodation

We ensure that hotels and vehicles selected for our clients, including the staff, adhere to the highest hygiene and health safety standards. All transport vehicles are sanitized before and after use.

Hygiene

Frequent hand washing, use of hand sanitizer in and around project workspace, which is cleaned and disinfected on regular basis by a professional cleaning service

3.

Symptoms and testing

In case anyone is showing or suspecting symptoms associated with Covid-19

If spotted off-set

Notify the production crew immediately. Remain at home and inform a personal physician for further instructions.

If spotted on-set

The affected person will be denied entry to the set and immediately referred to Health Services for testing. We will issue recommendations to anyone who was in direct contact with the affected person.

Testing

We are testing our entire in-house production team before joining the project. Every project runs in a bubble avoiding untested outsiders. All other crew members will undergo testing on Covid-19 prior to engagement/booking and/or shoot. The type of test will be determined based on production needs.

Antigen (Rapid) test

  • Quick and inexpensive
  • Indicates: current infection
  • Results in: 15 minutes

PCR test

  • Most accurate
  • Indicates: current infection
  • Results in: 5-8 hours

Results

Negative result

Crew member currently does not have the virus and can work according to safety protocols. Individual tests will be repeated if necessary.

Positive result

Crew member currently has the virus and must self-isolate for 10 days. Individual test will be repeated after that time.

Home quarantine

Home quarantine is a measure by which a healthy person, after having a high risk contact with a person who has been confirmed to be infected with the SARS-CoV-2 virus, or after arrival from foreign countries limits his/her contacts with other people (self-isolation at permanent or temporary or other address). It lasts 7 days from the last high-risk close contact or from the arrival to Slovenia (if you were referred to quarantine upon entering Slovenia).

Quarantine exceptions

Quarantine is not required for persons who have been vaccinated against COVID-19 with a booster dose of mRNA vaccine, persons who have recovered from covid-19 infection and less than 45 days have elapsed since a positive PCR test and persons who have recovered from covid-19 infection and are fully vaccinated.

4.

On-set protocols

On-set behaviour

Remote-viewing / cloud streaming for anyone who is not essential on the shoot is recommended to minimize on-set attendance.

Covid coordinator will be in charge of rapid testing for all attendees who didn't undergo any other testing before start of the shoot

Production supplies face masks and other protection kits when required.

Crew in charge of make-up, hair and wardrobe must also wear gloves and visors due to close proximity to talent.

On-set hygiene

Hand washing and hand sanitizers are available on and around set, and will be used throughout the shoot by all crew members.

All interior locations and equipment will be properly cleaned and disinfected prior and after use. Common areas such as bathrooms and wardrobe will be cleaned frequently. Appropriate ventilation will be ensured at all times.

All equipment is disinfected before and after use, and cleaned as required during the shoot.

Mics with protective covers are recommended.

Wardrobe must be professionally deep-cleaned before and after shoots. Brushes and other make-up instruments should be used to avoid physical contact. Items should not be shared by talent.

All props will be disinfected before and after use, and cleaned as required during the shoot.

Waste will be collected and removed frequently throughout the shoot.

All transport and production vehicles will undergo professional cleaning before arriving on set. Drivers will follow health and safety protocols.

NIJZ

All protocols are in line with local National Health Institute’s official recommendations, and will be subject to change accordingly. For any questions please contact our producers.

Live streaming & remote production

Livestreaming the shoot

Anyone can monitor and enjoy the shoot remotely. We provide experienced local support for any part of the production process and guarantee a smooth workflow.

Remote production & support

Experienced and reliable local “proxies” - DPs, directors, producers, and creative HODs – can be assigned to your remote team.

This “boots on the ground” approach can keep costs lower, save time and reduce carbon footprint.

Remote screening

We offer two setups of cloud streaming, depending on the preferred final output:

1 QTAKE HD real-time streaming via QTAKE MONITOR app with private link and authentication
2 QTAKE HD + YouTubeLive or Vimeo real-time streaming via private link and authentication

These ensure live on-set video streaming to clients and directors across the local network and the Globe.

QTAKE setups allow instant playback, multi-camera support, on-set color grading, live editing, and much more.

Live streaming setups require a good internet connection at both ends.

Live communication

Additional live communication channels such as Zoom, Skype, WhatsApp etc. are open throughout the shoot to speak with selected team members, in parallel with your live streaming platform of choice.

Channels are set up independently from the selected cloud video streaming platforms, and determined by client preference.

Our sustainability pledge

We aim to follow and to promote good sustainability practice, to reduce the environmental impacts of all our activities and to help our clients and partners to do the same.

Water

• Instead of using plastic water bottles in the office and for the production meeting, glasses and a water pitchers are provided. • Water stations are set up instead of purchasing individual plastic water bottles. •

Reduce consumption and waste

• Staff kitchen is stocked with reusable plates, glasses and utensils. For food items, consider minimal and sustainable packaging. • When ordering take-out food, request no napkins, plastic utensils or straws. • When possible, order a group lunch for the entire office, rather than having each project do a separate order. •

Digital vs. printed materials

• Keep preproduction books and call sheets digital as much as possible. We promote electronic communication and limit paper offering to when it’s specifically requested including production books and maps. Print double sided whenever possible. Use scratch paper. • Use a shared drive or Dropbox to share location photos and art reference photos, avoiding printing whenever possible. • Generate daily Shooting schedule QR code accessible throughout the shoot. •

Recycling and electronic usage

• We have set up recycling and compost bins next to all trash containers with clear signage detailing the materials appropriate for each bin. • Use rechargeable batteries where possible, recharging resources are provided. • Keep all unused equipment unplugged. We use power strips, smart plugs/switches to turn off when not in use, especially at the end of the day. •

Construction, props & wardrobe

• Careful and creative planning can reduce set-related waste dramatically. Design and build with strike and wrap in mind. • For props and wardrobe, we work with rental houses to eliminate unnecessary purchases and disposal. • We have lined up schools, theatres and arts organisations to take donations of used sets, props and wardrobe. •

Catering and craft service

• Use reusable plates, glasses, mugs and cutlery. For any “to-go” needs, use plant-based compostables, and chlorine free products. • Eliminate plastic straws and stirrers and replace with compostable options. • Properly stored food can be donated to local shelters and charities. •

Thank you for joining us in this cause by adopting sustainable practices on-set and in the office.
